Your Shopify payout doesn't match your sales
A payout is money movement, not revenue, and the two are never going to tie line for line. Shopify says so directly: the payout reconciliation report "isn't a statement of revenue for accounting purposes", and revenue in the Finance reports is based on orders and sales activity, which might not match the timing or totals in the payout report.
Three things separate them: timing, fees, and adjustments. The fix is not to force them to agree -- it is to route both through a clearing account so the difference is visible and explainable.
Why they were never going to match
Timing
An order is recognised when it is placed. The money arrives days later on a settlement schedule that has nothing to do with your reporting period. Shopify notes that Finance reports and payout exports might use different date ranges or time zones than the payout reconciliation report, and that the report reflects captured transactions and fees rather than individual bank deposits. Any month-end will have sales whose money has not landed and payouts whose sales belong to last month.
Fees
A payout is net of processing fees. A sales figure is not. Comparing gross-of-fee revenue with net-of-fee cash produces a difference equal to the fees, every single period, by construction.
Adjustments
Shopify's payout activity can include balance adjustments, fee adjustments related to refunds, dispute holds and dispute fees, tax adjustments related to import taxes and duties, and reversals related to reserves and holds. None of these are sales. All of them move the payout.

The clearing-account pattern
This is the standard bookkeeping answer and it is not specific to any tool:
- A sale posts revenue and debits a payments clearing account.
- A payout credits the clearing account and debits the bank.
- Fees, refunds, disputes and adjustments post to their own accounts as they occur.
The clearing account balance is then money in transit -- sales captured but not yet paid out. It should be small, it should be explainable, and it should trend to zero over a few settlement cycles. A clearing balance that grows without explanation is the actual signal worth chasing; a payout that does not equal a sales figure is not.
What to reconcile instead
Reconcile the sales side to the source that produced it, and the cash side to the bank. Trying to tie one directly to the other is what generates the unexplainable residual.
- Sales: tie your net sales figure to your Orders export, with every excluded order named. That is the subject of the export-versus-dashboard guide.

Timing is the usual answer -- the payout report has a data delay, and payout schedules are separate from order dates. If a payout is genuinely absent rather than late, that is a support question for Shopify, not a reporting one.
What this does not tell you
This page is tool-agnostic and deliberately so. Setting up a clearing account correctly in your ledger is a bookkeeping decision -- your accountant owns it, and the right structure depends on how you recognise revenue.
